Purpose Statement
To add value to the overall process of achieving company objective of Growth, Productivity and Sustainability by delivering administrative tasks for the team in Mali. The job holder will provide support to the Mali team to achieve company’s objectives with a special focus on Marketing. |
Key Accountabilities
Business
Office Logistics
· Manage the Country Manager’s diary and travel plans
· Organise travel arrangements (flights, accommodation) for staff
· Co-ordinate meetings and market visits.
· Responsible for all visitors to BAT Mali including accommodation and pick up arrangements, visa procedures, invitation letters. |
Records Management
- Responsible for the implementation and follow up of records management policies and procedures.
- Ensure staff are aware of and fully comply with BAT records management guidelines
- Update Retention Schedules, Control List and records
- Maintain compliance to the records schedule
- Ensure compliance with company records management policy.
- Ensure the company archives are managed effectively
· Ensure all staff information/ employee files are up to date at all times and records are properly kept
People |
· Ensure good relationship and communication between all staff · Maintain good working relationship between BAT Mali and other End Markets within the Zone · Have an up to date database with the list of key persons of the stakeholders in the end markets. · People Development; ‒ Facilitate internal BAT training on records management ‒ Brief all new joiners to Mali office on records management ‒ Assist the new staff for the training on Records Management tools and base practices. · Drive a Records Management culture |

Context |
· The jobholder provides a key support to the Country Manager and all staff on administrative issues in the Mali office. · The jobholder must have a good knowledge of the company. · The jobholder must have a good knowledge of the Malian and West African culture and use this knowledge where appropriate to help the management team · The jobholder must be at ease with all levels of contacts · The job holder must be able to communicate effectively in both English: English is an added advantage |
